We are Rhino Storage. We collect your name and contact details, the details of your unit and your payments, and CCTV footage of our sites. We use it to let you your unit, take payment, keep the site secure and tell you what you need to know. We do not sell your information. You can ask us what we hold and ask us to correct it. The rest of this notice sets all of that out in full.

Who we are

Rhino Storage is the trading name of Rhino Storage Salisbury Ltd, a company registered in England and Wales, company number 07748294, registered office Unit 5 Dillybrook Business Park, Poplar Tree Lane, Wingfield, Wiltshire, BA14 9NB. VAT number GB 152 3417 36.

This website is about our Southwick site, near Trowbridge. When you book, you are passed to our main booking site at rhinostorage.co.uk, which is run by the same company — so we remain responsible for your information throughout.

We are the data controller for the information described in this notice. We are registered with the Information Commissioner’s Office.

What we collect

  • Your details — name, address, email, phone number, and a copy of the photo ID we are required to check before you move in.
  • Your alternative contact — the name and contact details of the person you name (see below).
  • Your storage — which unit, the dates, your move-in and move-out, your access PIN, and the notes our staff make about your account.
  • Your payments — what you have been invoiced, what you have paid, your direct debit mandate, and any balance outstanding. We do not hold your full card number — card payments are handled by our payment provider and we only ever see the last four digits.
  • CCTV — footage of our sites, including the gate and the corridors.
  • How you contacted us — enquiry forms, emails, live chat, and phone calls, including calls to our tracked numbers.
  • Your visit to this website — see “Cookies and website tracking”.

The person you name as your alternative contact

Your storage agreement asks for an alternative contact. We only use those details if we cannot reach you — for example if there is a problem at the site, or your account falls into arrears. Please tell that person you have given us their details, because we are relying on our legitimate interest in being able to reach someone about the unit, and they have the same rights over their information as you do over yours.

Why we use it, and our lawful basis

  • Letting you your unit and running your agreement — performance of a contract
  • Taking payment, chasing arrears, recovering debt — performance of a contract, and our legitimate interest in being paid
  • Checking your ID before move-in — legal obligation, and our legitimate interest in preventing crime
  • Keeping the site secure, including CCTV — our legitimate interest in protecting people, goods and the premises
  • Sending you service messages about your storage — performance of a contract
  • Keeping our accounts and tax records — legal obligation
  • Marketing emails, and website analytics — your consent

Do you have to give us this information

For the things marked “performance of a contract” or “legal obligation” above — yes. Without them we cannot let you a unit. Everything based on consent is genuinely optional and you can withdraw it at any time.

Messages we send you

We send service messages about your storage — invoices, payment reminders, access information, and notices about the site. These are part of your agreement and you cannot opt out of them while you store with us. Marketing is separate: we only send it if you have agreed, and every marketing message has an unsubscribe link.

Who we share it with

We share your information with the following, and only where we need to:

  • Our payment providers — GoCardless for direct debits and Stripe for card payments, to take payments and issue refunds.
  • Signable — our e-signature provider, to send your storage agreement for signature and store the signed copy.
  • Our email, text message and call-tracking providers — to send you messages about your storage and to route and record calls to our tracked numbers.
  • Our website host and IT providers — who keep our website and systems running.
  • The company that monitors our CCTV — an outside security company acting on our behalf.
  • Google — this website uses Google Analytics and shows a Google map, which send information about your visit, including your IP address, to Google. See “Cookies and website tracking”.
  • Social media platforms — only where we message you there because we cannot reach you any other way.
  • Our professional advisers — accountants, insurers and solicitors, where necessary.
  • Debt recovery and disposal of goods — where a balance stays unpaid: anyone we instruct to recover the debt, and anyone we instruct to remove, store, value, sell or dispose of goods under your storage agreement.
  • The Police and other authorities — the Police, the Fire Service, Trading Standards, HMRC, another competent authority, or anyone acting under a court order.
  • A buyer, if the business changes hands — if the business or a site is sold or transferred, customer records would pass to the new owner so that your storage carries on, and they would have to look after your information in the same way.

We do not sell your information.

CCTV

Our sites are covered by CCTV, and there are signs telling you so. We use it to protect people, goods and the premises. Footage is monitored on our behalf by an outside security company, and is kept only as long as we need it — unless there is a reason to keep a particular recording longer, for example an incident, an insurance claim, or a request from the Police. You can ask for a copy of footage of yourself; see “Your rights”.

If we think something unlawful is happening

If we have reason to believe a unit is being used for something unlawful, we may share what we hold with the Police or another competent authority. Your storage agreement allows us to let them into a unit, and where they ask, to tell them who rents it.

How long we keep it

  • Your customer record and storage history — for six years after you leave, which is the period we may need it to deal with a claim or a query about your account.
  • Accounting and tax records — for six years after the end of the tax year they relate to, because we are required to.
  • CCTV — see above.
  • Marketing consent — until you withdraw it.

Where it is held

Your information is held on systems in the United Kingdom and the European Economic Area. Some of our providers — including Google — may process information outside the UK. Where they do, that transfer is covered by the safeguards UK data protection law requires, such as the UK International Data Transfer Agreement or an adequacy decision.

Automated decisions

We do not make any decision about you by automated means alone, and we do not profile you.

Your rights

You can ask us to:

  • show you what we hold about you;
  • correct anything that is wrong;
  • delete it, where we no longer need it and are not required to keep it;
  • restrict or object to how we use it, including objecting to anything we do on the basis of legitimate interest;
  • give you a copy to take elsewhere, for the things you gave us;
  • withdraw consent, at any time, for anything based on consent — including marketing.

If you are not happy with how we have handled it, you can complain to the Information Commissioner’s Office — ico.org.uk, or 0303 123 1113. We would rather you came to us first so we can put it right.

Cookies and website tracking

Some cookies are needed for this website to work. These are always on.

This website also uses Google Analytics, which sets cookies and sends information about your visit to Google — your IP address, the pages you look at and how you found us — so we can see how the site is used. Some pages also show a Google map, which shares your IP address with Google when it loads. This site does not run advertising cookies.

You can clear or block cookies at any time in your browser settings. You can see and change what Google does with information about you at myadcentre.google.com and myactivity.google.com. If you would rather we did not use your information for analytics, email admin@rhinostorage.co.uk and we will tell you how to opt out.
